This document describes how Ars Pictoria collects, uses, and protects personal data, and sets out the terms governing participation in courses, workshops, and other activities organized under the Ars Pictoria project. It is written in accordance with the EU General Data Protection Regulation (GDPR) and the Italian Personal Data Protection Code (D.Lgs. 196/2003 as amended by D.Lgs. 101/2018).
Part I — Privacy Policy
1. Data Controller
The data controller for personal data collected through this website and related activities is Ars Pictoria. For any privacy-related questions or requests, contact us at info@arspictoria.com.
2. Data We Collect
When you register for a course or workshop, we collect the following personal data:
- First and last name
- Email address
- Phone number
- Date of birth
- Full postal address
- Course or workshop selection and any notes provided during registration
If you subscribe to our newsletter, we collect your name and email address.
We may also collect technical data (IP address, browser type, pages visited) through Google Analytics when you visit our website.
3. Legal Basis for Processing
We process your personal data on the following legal bases:
- Contract performance (Art. 6(1)(b) GDPR): processing your registration, managing your participation, and communicating course details.
- Legal obligation (Art. 6(1)(c) GDPR): compliance with Italian tax and accounting requirements.
- Legitimate interest (Art. 6(1)(f) GDPR): improving our programs based on participant feedback and communicating updates about our activities to existing participants.
- Consent (Art. 6(1)(a) GDPR): sending newsletters and marketing communications to subscribers. You may withdraw consent at any time by unsubscribing.
4. How We Use Your Data

5. Photography and Video
Ars Pictoria may photograph or film sessions for educational and promotional purposes, including publication on the website and social media. Participants who do not wish to be photographed or filmed must notify the instructor before the first session begins.
6. Third-Party Services
We use the following third-party services that may process your personal data:
- Mailchimp (Intuit Inc.): email newsletter management. Data may be processed outside the EEA under Standard Contractual Clauses. See Mailchimp Privacy Policy.
- Google Analytics and Google Search Console (Google LLC): website traffic analysis and search performance monitoring. Data may be processed outside the EEA. Google Analytics is configured with IP anonymization. See Google Privacy Policy.
- WooCommerce (Automattic Inc.): online payment processing (planned). When activated, relevant data handling details will be updated here.
We do not sell or share your personal data with third parties for marketing purposes.
7. International Transfers
Some of our third-party service providers (Mailchimp, Google) process data outside the European Economic Area. Such transfers are carried out under appropriate safeguards, including Standard Contractual Clauses as approved by the European Commission.
8. Data Retention
- Registration and participation data: up to 10 years, as required by Italian tax law.
- Newsletter subscription data: until you unsubscribe.
- Website analytics data: as configured in Google Analytics (default 26 months).

Part II — Workshop and Activity Participation Terms and Conditions
1. Registration and Deposit
Registration for a workshop or course is confirmed upon receipt of the deposit payment. Until the deposit is received, your place is not guaranteed. Deposit amounts and payment deadlines are specified in the program description for each activity.
The deposit is non-refundable in all circumstances, including participant cancellation.
2. Balance Payment
The remaining balance is due before the first session begins. Payment method and instructions are provided upon registration.
3. Participant Cancellation
If a participant cancels their registration for any reason, the deposit is non-refundable. If cancellation occurs after the balance has been paid, the balance will be refunded, but the deposit will not.
4. Instructor Cancellation
If a workshop or course is canceled by the instructor due to unforeseen circumstances, the full deposit amount will be refunded. Ars Pictoria is not liable for any additional costs incurred by participants, including travel or accommodation expenses.
5. Program Changes
Ars Pictoria reserves the right to make reasonable changes to the program schedule, content, or venue when necessary. Participants will be notified as soon as possible in such cases.
6. Enrollment
Places in each program are limited. Enrollment deadlines and capacity limits are specified in the program description for each activity. Registration is accepted on a first-come, first-served basis.
7. Materials and Inclusions
The materials, tools, and supplies included in the workshop fee are specified in the program description for each activity. Museum entry tickets and guided visits are included where indicated.
8. Liability
Participants attend workshops and courses at their own risk. Ars Pictoria is not liable for personal injury, loss, or damage to personal property during sessions or related activities.
9. Governing Law
These terms are governed by Italian law. Any disputes shall be subject to the jurisdiction of the courts of Florence, Italy
